Administrative Assistant II – GN

Performs a variety of administrative functions such as schedule appointments, provide information to visitors and callers, composes memos and other documents and researches and creates presentations.

Duties can include:

  • Provide general administrative and clerical support including mailing, scanning, faxing and copying
  • Answer phones, receive visitors, route correspondence and messages
  • Open, sort and distribute incoming correspondence, and handle outgoing correspondence
  • Use multiple software and automated/computer systems
  • Prepare and manage travel requests and orders
  • Assist with meeting logistics – set up meetings and conference calls and take and distribute notes
  • Respond to Freedom of Information Act (FOIA) requests, and provide litigation support
  • Assist with drafting and editing correspondence, reports, and other material using word processing, spreadsheet, and database software
  • Provide agency staff with reference and research services, maintaining correspondence control systems, and maintaining administrative and subject matter filing systems
  • Sort and code material for integration into records management system
  • Conduct Internet research when appropriate needs are identified
  • Track progress of projects and outstanding requirements
  • Perform other administrative duties falling within the scope of the position

Qualifications:

  • Must possess a High school diploma or 2 years of experience in the field or in a related area
  • Experience with Microsoft Office suites preferred, Excel, Word, PowerPoint
  • Excellent verbal and written communication skills
  • Ability to prioritize projects and strong problem-solving skills
  • Ability to multitask many things at once
  • Ability to pass a federal background check
  • Be able to travel for meetings, conferences and other required events
  • Have a valid, unrestricted driver’s license
