Position Overview

We are seeking a detail-oriented and highly organized Document Processing Specialist to support operations at the Bureau of Engraving and Printing (BEP). This role is responsible for the intake, processing, and research of mutilated currency claims submitted by the public. The ideal candidate will play a critical role in ensuring accurate data entry, timely case creation, and effective communication with claimants, while maintaining strict adherence to established procedures and quality standards.

Key Responsibilities

  • Receive, open, and sort incoming mutilated currency claims delivered daily via the U.S. Postal Service.
  • Accurately enter claim data into the Case Management System (CMS) to establish and track case records.
  • Review and assess each submission to determine claim complexity and assign the appropriate BEP-defined grade level.
  • Analyze claim status within the CMS, identifying current processing stages and any outstanding requirements or documentation needed for completion.
  • Conduct research within the CMS to locate and review supporting documentation associated with each claim.
  • Prepare and provide accurate, timely responses to claimant inquiries via email, phone, and written correspondence.
  • Document all claimant interactions and updates within the CMS to ensure complete and up-to-date case records.
  • Maintain organized workflows and ensure efficient processing of claims in a high-volume environment.
  • Deliver consistent, high-quality customer service while handling sensitive and potentially complex inquiries.

Required Qualifications

  • High School Diploma or equivalent with a minimum of 6 years of professional experience OR Bachelor’s degree in any discipline
  • Strong data entry accuracy and attention to detail
  • Excellent organizational and time management skills
  • Ability to analyze information and identify discrepancies or missing data
  • Effective written and verbal communication skills
  • Customer service-oriented mindset with the ability to respond professionally to inquiries
  • Proficiency in working with databases or case management systems
  • Ability to manage multiple tasks and meet deadlines in a structured environment

Preferred Qualifications

  • Background in audit, compliance, reconciliation, or quality control
  • Experience working in secure or highly regulated environments
  • Familiarity with case management or transaction processing systems

Other Qualifications

  • Frequent use of hands and arms; prolonged sitting may be required.
  • Specific vision abilities: close vision, color vision, and focus adjustment
  • Ability to interpret instructions involving multiple abstract and concrete variables.
