Medical Records Clerk – Ohio Army National Guard, Columbus, Ohio

Provide Medical Protection System (MEDPROS) database services to ensure database reflects current medical information for the Ohio Army National Guard (OHARNG) Soldiers. Input new/current data, error detection and correction data into MEDPROS mainframe database. Ensure data is accurately input for the OHARNG medical information and is maintained in the appropriate medical databases.

Specific tasks include:

  • Ensure data coding is compatible with data entry system and procedural requirements. Contractor shall ensure mainframe procedures and data code changes are implemented.
  • Review and update current information in the paper and electronic data files for all OHARNG Soldiers.
  • Maintain online data files; to include auditing for errors, creating, maintaining, and purging specified data/online file logs when improperly indexed. Requirements can be accomplished using individual and/or mass corrections, modifications and/or updates of data in files, as appropriate.
  • Prepare accurate reports in compliance with various Army Command drilldown items in MEDPROS to include but not be limited to: immunizations, individual and unit readiness, HIV, DNA, Dental, and pre/post Deployment Health Assessment.
  • Respond to inquiries concerning drilldown information and update databases accordingly.
  • Provide reports from existing data as needed to support command information requirements.
  • Resolve problems and inconsistencies within MEDPROS database while maintaining effective communication with outside Government agencies.
  • Extract and release information according to specific criteria and in strict compliance with established policies, procedures and/or regulations.
  • Ensure strict confidentiality of services member records. Manage protection and release of information in accordance with HIPAA and Privacy Act requirements.
  • Prepare answers to questions from client departments on specific data for approval and release by the Government.
  • Ensure day-to-day issues are analyzed thoroughly, effectively, within an established timeframe ensuring the execution in a clear, accurate, and in a professional manner.
  • Provide scanning and indexing support for the Web-based online Health Readiness Record.
  • Conduct online index/sort of medical records of all OHARNG Soldiers based on document type, Soldiers’ unique identification code and date of document.
  • Review, scan, and index medical records of newly accessed Soldiers into the OHARNG.
  • Provide government approved evaluation results and data entry aid for Soldier Readiness Processing (SRP).
  • Provide accurate data to the OHARNG State Surgeon’s Office for use in the medical readiness evaluation for final medical review.
  • Conduct on the spot update of MEDPROS, HRR, DENCLASS, MMPDV (Mobilization Personnel Data Viewer) for potentially mobilizing soldiers.

Qualifications:

  • Must possess a High School Diploma.
  • Must possess a minimum of one year in medical or administrative database entry is required.
  • Must possess a strong working knowledge of Windows 10 or later, Microsoft Office Suites and Outlook/Exchange, and SharePoint.
  • Ability to plan, organize work, and meet deadlines.
  • Ability to manipulate data to distinguish patterns and common themes of data to produce whole reports.
  • Demonstrated ability to make judgments about sensitive/confidential information.
  • Demonstrated abilities in accounting or recordkeeping.
  • Previous experience with MEDPROS and demonstrated knowledge of military medical readiness requirements is highly desirable.
  • Must be able to read, write and speak fluent English
  • Must be able to pass a Federal background check
