Task Order Coordinator – Leading Solutions HQ, Kissimmee, FL
The Task Order Coordinator plays a key role in supporting the bid and proposal team by coordinating RFP/RFQ/RFI-related tasks and responses. Requires exceptional and timely coordination and communication with internal company and external team members. This position requires strong organizational skills, attention to detail, and the ability to work effectively across teams. The Coordinator is responsible for maintaining RFP/RFQ/RFI and bid/proposal response and related documentation and ensuring adherence to company processes and standards.
Specific tasks include:
- Coordinate actions with company personnel and team member personnel related to Task Order-based IDIQ and GWAC contracts to ensure visibility of and successful response to task orders and requests for information.
- Communicate and coordinate closely with team members regarding task order RFP, RFQ and RFI opportunities and response requirements within deadlines.
- Help manage team member resources, evaluate capabilities, manage forms and responses, and track proposals and other actions under deadlines.
- Facilitate informed decisions for bid-no bid decisions by requesting, tracking and supporting evaluation of company and team member capabilities ( technical qualifications, past performance, key personnel, etc.) pre or post task order release.
- Ensure all required documentation for responses to RFP/RFQ/RFI are complete and received on time, including data calls, technical responses, resumes, past performance, and other forms, templates and data and requirements.
- Upload applicable task order and related documents to SharePoint and manage archiving of documents.
- Proficiently use various types of software, and/or have the ability to quickly learn new methods and systems put in place by management.
- Maintain/update various tracking, data call, and information documents such as response templates, POC lists, etc.
- Maintain roles-based access to and manage SharePoint.
- Maintain SOPs and other documentation governing the flow and processes related to the TO Coordination activities.
Qualifications:
- Bachelor’s degree from an accredited college or University in a business or related discipline. In lieu of a bachelor’s degree, an AA/AS and an additional three (3) years of experience is required for a total of five (5) years.
- Two (2) years’ experience in coordinating program or related activities including requirements, resources, and scheduling activities.
- Proficiency using MS Office Suite (Outlook, Word, Excel, PowerPoint), SharePoint and Adobe Acrobat.
- Strong organizational skills, attention to detail, and the ability to work effectively across teams
- Ability to work independently and under pressure while staying on task and meeting deadlines.
- Ability to prioritize and execute multiple tasks and actions simultaneously in a fast-paced environment.
- Ability to read, write and speak fluent English.
- Exceptional communication skills, written and verbal.
- Must be able to pass a background check.
- Knowledge and experience of Government contracting and related aspects preferred.
- Knowledge of various contract types including Indefinite Delivery Indefinite Quantity (IDIQ), Government Wide Acquisition Contract (GWAC), Blanet Purchase Agreement (BPA, Firm Fixed Price (FFP), Time & Materials (T&M), and Labor Hour (LH) preferred.

- Frequent sitting for prolonged periods.
- Specific vision abilities required by this job include close vision, color vision and the ability to adjust focus.
- Work is performed in a fast pace is driven office environment. The noise level in the work environment is usually low.
- Ability to collect data, define problems, establish facts, and draw valid conclusions.
- Ability to interpret an extensive variety of instructions dealing with several abstract and concrete variables.
