Administrative Assistant (Advanced) – Missile Defense Agency (Huntsville, AL)
Administrative Assistance (Advanced) will be capable of executing and leading tasks associated with mid-executive level (SES/Flag Officer, O-6 military, GS-15/NH-IV civilian), and/or general administrative support in all facets of administration. Ability to work independently or leading teams to solve problems and have experience with DoD support. Capable of providing daily supervision and direction to support teams.
Specific tasks include:
- General Administrative Support including answer phones, direct visitors, receive and distribute various correspondence and maintain and manage office records and organizational distribution lists.
- Access Control including receive and process VARs, and assist and escort visitors.
- Travel Support including, for domestic and international travel, processing orders and vouchers, and making reservations using the Defense Travel System (DTS) IAW JFTRs.
- Correspondence Support including, for classified and unclassified and internal and external correspondence, use of a web-based tracking and management systems or specifically the Task Management Tool (TMT).
- Correspondence Management Support including developing and maintaining calendars, and initiate, accept, and process meeting invitation requests.
- Meeting Support and Attendance including identify, coordinate, and reserve conference rooms to support internal and external leadership meetings.
- Support in Communicating Policy and Guidance including document and implement best practices, processes, and procedures and coordinate organizational All-Hands and communication roundtables.
- Monitor Training and Education including identify training and education requirements based on the workforce’s required capabilities and track the completion of IDPs.
- Support the In-Processing of Functional Matrix Staff including build prospective candidate interview packets and schedule interview time.
- Command Suite Receptionist including assist visitors, control access to leadership offices, answer, and direct calls, receive and distribute mail.
- All work is performed on-site in accordance with DOD/MDA Policies, Directives, and Processes
- Work is performed indoors with some potential risks to safety and health hazards related to electronics.
Qualifications:
- Doctorate + 1 year experience
- MA + 2 years of experience
- BS/BA + 6 years of experience
- Associate + 8 years of experience
- HS + 10 years of experience
- Experience required:
- Experience with or knowledge of the Task Management Tool (TMT), an MDA web-based automated correspondence suspense tracking and workflow management tool or a similar web-based tracking and task management tool.
- Ability executing and leading tasks for mid-level Executives (SES/FO/O6/GS15); independently lead teams and solve problems and have experience with DOD support.
- Capable of providing daily supervision and direction to support teams.
- Proficient with MS Office Suite of Programs: Microsoft Outlook, Excel, Power Point, and Word.
- Excellent organizational skills, attention to detail, and sound skills in written and oral communication are a must.
- Requires visual acuity to use a keyboard and monitor.
- May require lifting up to 25 pounds.
- Must have a Secret Clearance.
- Must be able to read and speak fluent English.
